Nodl Consulting Pty Ltd Service Agreement, Terms & Conditions

The agreement aims to ensure you and your therapist have an agreed set of expectations as to how your services will be delivered. Please take time to carefully read this agreement, as it has been designed to protect your rights and ensure a positive working relationship is established and maintained.

Services and Supports to be Provided

  • The Therapist agrees to provide the Client with Occupational Therapy services.

  • The supports and prices are outlined on the website and in the Service Agreement.

Rights and Responsibilities

The Therapist agrees to:

  • actively and collaboratively work with the Client/family to identify their needs, priorities and preferences to establish goals

  • provide the agreed safe and high-quality supports that meet the Client’s needs at the appropriate preferred location and times whenever possible

  • respect and respond to the rights, cultural values and beliefs of the Client, treating them with courtesy and respect

  • communicate openly and honestly in a timely manner and in the mode and method most suited to the Client /family to maximise their understanding and that an interpreter can be accessed if required

  • inform the Client /family of costs associated with the provision of services including the cost associated with late cancellations and non-attendance

  • protect the Client’s privacy and confidentiality as per the Privacy Act 1988

  • store Client information securely, either in locked hard copy or electronically with appropriate encryption, password and firewall protection

  • inform Client /family how to make a complaint and treat Client fairly and impartially

  • listen and respond to Client/family’s feedback and resolve problems appropriately and in a timely manner

  • provide Client with a minimum of 24 hours notice (where reasonably possible) if a scheduled appointment needs to be changed – see details below

  • provide support in a manner consistent with all relevant laws, including the National Disability Insurance Scheme Act and Rules, and Australian Consumer Law

  • keep accurate records and clinical documentation

  • issue regular invoices for the provision of services delivered to the Client

  • provide Client/family with the required notice if Therapist needs to terminate Service Agreement – see details below

  • inform the Client of possible risks and benefits associated with engagement in services. Typically Occupational Therapy interventions are low-risk, effective and safe, however like any treatment or extra-curricular activity there are benefits and risks. These risks typically do not exceed risks a child is exposed to in a typical day. A copy of the Risk Management Policy can be provided upon request.

  • investigate incidents and comply with NDIS (Incident Management and Reportable Incidents) Rules 2018, including involving the Client in the investigation and determining actions/outcomes.

The Client / Family member / Carer agrees to:

  • be involved in the assessment, treatment and goal-setting process, working collaboratively in determining how services will be delivered

  • attend and participate in sessions for the duration of the agreed or prescribed term

  • provide accurate information and keep the Therapist informed of changes to personal information

  • inform Therapist if other therapy or relevant services or supports are being received

  • disclose and discuss any relevant health concerns or medical conditions the Client may have (including heart condition, seizures, asthma or other respiratory condition, severe allergies, sever phobias)

  • supervise the consumption of any food or drink consumed in sessions

  • allowing photos, videos or written records relevant to the intervention to be taken and stored securely

  • use equipment safely – in the manner in which has been taught or practiced with the Therapist

  • accept correspondence via text, phone or email and agrees to check junk and spam folders for invoices and correspondence from Nodl Consulting. It is recommended that the email address: info@nodl.com.au be added to Client’s safe recipient list

  • ensure there are appropriate funds available for claiming services that have been booked and provided

  • paying invoice upon completion of the session or within 7 business days from invoice date, and that repeated late or missed payments, may result in termination of services

  • accept invoices for full sessions or service fees and understands this may include non-face-to-face invoice items such as completing therapy assessments and session planning, resource development, clinical reporting and care coordination, therapist travel fees to home or school appointments, phone calls, resourcing, and stakeholder meetings

  • treat the Therapist with courtesy, respect and dignity

  • provide a safe and smoke-free environment for the Therapist to work in if seen in the community / home environment

  • discuss with Therapist any concerns regarding supports or services being provided

  • give the Therapist a minimum of 24 hours notice to cancel a scheduled appointment via text, phone call or email; and if notice is not provided by then, Therapist’s Cancellation Policy will apply

  • give the Therapist the required notice to terminate the Service Agreement

  • advise Therapist immediately if external funding from Medicare / Private Health or NDIS plan is ceased or altered

  • give the Therapist feedback or lodge a complaint if dissatisfied with service delivery

  • disclose and discuss any known concerns, limitations or potential risks associated with participation in therapeutic / service agreement

  • understand that this is not a crisis or emergency response service and operates within limited hours. For all emergencies, call 000 or present to the local hospital emergency department. Alternatively, contact Lifeline on 13 11 14 where counsellors are available 24-hours a day.

Costs and Payments 

  • The cost of services is $225 per hour + GST.

  • Fees apply to all modes of service delivery including assessment, therapy (face-to-face and Telehealth), travel, non-clinical documentation, resource development, therapy planning and collaboration with other relevant stakeholders. The Therapist will seek payment for the provision of services after delivering each service.

  • Occupational Therapy Assessment: 1-3 hours

A comprehensive assessment will be completed to review areas of concern and can be completed across 1-2 sessions depending on complexity. Assessment may include reviewing relevant reports, interviews, standardised assessments, observations, and the analysis and interpretation of assessment results.

  • Occupational Therapy Treatment: 1-hour sessions

Therapy sessions may vary slightly in length, but will usually be 45 minutes face-to-face, with 15 minutes non-clinical time included for documentation and future session planning. The session includes intervention and observation, discussion of strategies and ideas to implement at home. 

  • Clinical Reporting: 1-4 hours

Reports are necessary to meet requirements for funding through Medicare and NDIS, and may be written upon request. They will provide detailed results of assessments, interventions, therapy goals and progress.

  • Resource Development:

Resources may be critical to support intervention and may be created specifically to target therapy goals. This can be discussed prior and will be charged hourly or part thereof.

  • Travel:

At times, sessions may be conducted at school or home. Travel fees can be discussed prior and will be charged hourly or part thereof.

  • Care Coordination:

To ensure holistic care and to maximise benefits of multidisciplinary intervention, liaison with other key stakeholders (allied health professionals, teachers, parents and doctors) is often necessary. Clinical calls and emails will be charged hourly or part thereof.

Cancellation Policy

  • Nodl Consulting requires a minimum of 24 hours’ notice for cancellations or rescheduling a booked appointment, otherwise you will be charged 100% of the service fee

  • This includes for sudden illness and “no show” appointments

  • For late arrivals (15 minutes after booked appointment time), Clients will still be charged for the original booked appointment. The therapist may decide to offer a shorter appointment for the remainder of the booked appoint time, if the Client arrives with 30 minutes left of their session

  • Appointments can be cancelled via text, email, or phone call

  • Consecutive Absences (3 or more missed appointments or late cancellations) may result in suspension of services. Nodl Consulting may attempt to offer another more suitable time or service if appropriate.

Service Agreement

  • Should either the Client or Therapist wish to end the Service Agreement, they are required to provide 14 days notice. Notice must be given in writing, indicating the desire to terminate the Service Agreement.

  • Service Agreement will be terminated once any outstanding and owed fees have been paid, and the 14 day notice period has been met.

  • If either Party seriously breaches the Service Agreement the requirement of notice may be waived.

Making a Complaint or Providing Feedback

If the Client wishes to provide feedback or make a complaint, the Client, their family member or carer can:
